How to Write a Formal Email

If you're used to using email to catch up with friends, writing a formal Email might feel pretty foreign to you. It's not quite the same as writing a business letter, but it's definitely a huge step in that direction. Clarity, conciseness and being correct are the keys! To write a formal email, follow these guidelines.
1. Use a neutral Email address
 Your Email address should be a variation of your real name, not a username or nickname. Use periods, hyphens, or underscores to secure an e-mail address that's just your name, without extra numbers or letters, if you can.
  • Never use an unprofessional email address. No one will take you seriously if your reply-to is joke name or inappropriate name.
2. Use a short and accurate subject header
  Avoid saying too much in the subject header, but make sure it reflects the content of your Email to a person unfamiliar with you. If possible, include a keyword that will make the Email content easier to remember and/or search for in a crowded inbox. For example, “Meeting on March 12th” is specific enough that the email topic won’t be mistaken for anything else but not so specific as to be distracting (ex. “Schedule, Guest List, Lunch Requests, and Meeting Overview for March 12th").

A job interview is one of the most drawn-out and intimidating ways of making first impression. However, it’s also your opportunity to get on an employer’s good side, which can give you a distinct edge over even those applicants whose credentials are better than yours. To prepare for a job interview, use these pointers.

1. Research the company's profile and background
  Start by looking into their future goals and plans. Conducting the interview with this in mind will make you seem like a good long-term investment. You should also be ready to talk in depth about the industry, the organization, and the position you are applying for.
  • Learn your interviewer’s name and job position before going to the interview. You may need to call the company to find out.
  • Talk to current employees. Show initiative while getting a feel for the office environment. Learn as much as you can about the company from people who work there.
  • Know as much about the company as possible. You can't change your employment history or your qualifications, but you can work harder than every other applicant by being supremely knowledgeable about the company. Use the company's website, their annual report, and newspaper/business magazine articles to gather as much information as possible.

Good leaders must be good role models, knowledgeable in their fields, and worthy of respect. There are many ways to lead, whether it's by taking on a leadership role at work, or being the captain of your sports team. Here are some tips to help you excel as a leader in any situation in life.

A. Leadership in a Business Environment

  1. Be a good role model
      To earn respect, it's important to show that you know your stuff. People will respect and listen to you, if they know you are knowledgeable in your field.
    • Discuss your experience. Without showing off, let your employees understand how long you've been in the business and what you have achieved while you were there. Not only will they have a better understanding of why you're sitting in the boss' chair, but they'll be more excited to be a part of your team and will admire you.
    • Act professionally. Though you may be the boss, you should still be cordial to all of your employees. You should also still meet the basic standards of professionalism such as; dressing appropriately, coming to work and meetings on time, and communicating in a professional manner.
  2. Be clear about your rules and expectations
      Whether you're the CEO of a company or the manager of a team of four people, it's important to make your expectations "crystal" clear from the beginning.
    • Have a code of conduct or a rule book that you can point to which shows employees how to act.
    • If you're working on a project, your goals and expectations should be clear from the beginning. Then your employees will be more motivated and not confused. It is preferable to have your goals down in written form.
    • Don't change your instructions in the middle of a project. Though some adjustments in the workplace are necessary, it's important to not only be clear about your expectations, but to also be consistent. If you change your mind about what you want halfway through a meeting, your employees may not take you seriously, or they might be frustrated.
  3. Leave room for input
      Though it's important to be firm, you should still leave some room for the considerations of others. This way you won't look like a dictator. Also, there's a lot you can learn from your employees, which might help your business thrive.
    • Ask for feedback. It's important to ask for feedback after you've wrapped up a project, set up guidelines during a meeting, or you have thrown a charity event. You can do this without scaring your employees. Simply ask through email, or send an anonymous survey to them.
    • Ask for opinions in a face-to-face situations. At the end of a meeting, you can casually ask if people have any questions or opinions. This will give your employees time to consider what they're working on. You may also pull individual employees aside, or invite them to your office, to discuss the project further. Tell them that their perspective is crucial to your success.
  4. Reward employees for good behavior
     To be a good leader, you need to maintain high team morale, and to motivate employees to achieve their goals in a timely manner. Also, make your rewards desirable and fun!
    • Have a monthly team dinner to celebrate a completed goal. This will be, not only delicious, but a fun way to bond with your colleagues and to motivate them to achieve goals in a timely manner.
    • Give individual "shout outs" when necessary. If one of your employees accomplished something incredible, there's no harm in announcing his or her achievements through an email or at a meeting. Though this may make him or her blush, he or she will see that you're paying attention to his or her hard work.
    • Reward your hard workers with prizes. A prize, whether it's the latest technological gadget or just a pair of free movie tickets, can give your employees the incentive they need to work hard, and will make them think you're a cool boss.

The term "formal essay" probably makes many people think of high school or school writing classes, but formal essays have many practical uses outside the classroom. A formal essay is also a requirement in certain job applications, and may be required in sure professional reports and correspondences. Writing a formal essay requires AN understanding of how to structure the essay, how to present it on the page, and how to write in a formal writing style. A formal essay also requires a strong vocabulary, and may require some research skills. An essay may be persuasive, analytical, critical, or expository, depending on the topic and parameters of the essay. Learning how to write a strong formal essay can help you excel in your academic career and your professional career.

Brainstorm possible subjects:

Brainstorming is one of the most common methods of topic formation. It allows you to explore multiple possible topics without committing to any of them until you decide what will work best for you.

    - Set a timer. Choose a time span that will allow you to cover lots of ground, but not so large a time span that you find yourself feeling lost and aimless. Five to ten minutes is generally a good starting point.
    - Write down any ideas for topics that come back to mind. Try to come back up with as many ideas as you can, and jot them down as quickly as possible. You want to have a large list to work with.
    - When the timer goes off, review the list you've compiled. Look for any patterns or recurring themes in the subjects that you've got written down.

2. Select the Proper Location for the Interview
 The ideal scenario for your interview location is a secluded room in which you can shut out distractions (and noises), control the lighting, and display a generic background. Ideally, you’ll want to have some diffused lighting so as not to create shadows or glare and a plain wall as your backdrop. You should also have a location in which you can be seen on camera from about the waist up  not just your face.

Formal letters -they can shape others' perceptions of you, inform the reader of a serious issue, or get you a job. There are two main types of business letter styles: block style. Block style is the most commonly used formal letter format; it has a salutation and closing, and is good for letters to businesses you are applying to or someone you have met before.

1. Write the sender’s address and telephone number on the top left hand side of the page

 If you are representing a company, write the company’s address. If you are the sender, write your address. Write your street address on the second line. Write your city, state, and zip code on the line below that. Include your telephone under your address.
  • In cases where you represent a business, you can put your logo and address right in the middle of the page. Make sure to center it so that it looks uniform.

A good CV is essential when looking for work, especially when there are high volumes of candidates applying for the same job, but what should it contain?

What information should I include on my CV?

Personal Details: It may sound obvious, but you’d be surprised how many people forget to include their name, email, contact phone number and address. Make sure these are clearly marked at the top of your CV.
Personal Statement: Although optional, many jobseekers choose to include a personal statement in their CV as it’s a good opportunity to tell an employer about your suitability for the job.
Keep it short and sweet and be sure to demonstrate your enthusiasm and commitment to the role and the company.

Work Experience: This section includes any work experience that you have in the field you are applying for. When listing these work experiences include your job title, time in the post, responsibilities and the name of your organisation. Remember to list your most recent role first.
Achievements: List relevant skills and achievementsfrom previous jobs, giving clear examples of how you would apply these to the new role.
Education: List formal qualifications and any training and development undertaken, either independently or during previous periods of employment.
Hobbies and Interests: Only include if the skills or teamwork concerned are relevant for the job. There is no point listing that you’re sociable or that you enjoy going to the cinema for the sake of it.
Any extra information, such as reasons for a career change or reasons for gaps in career history should be added as required.

Students grapple with many issues in their lives, and because of all of the competing things for your attention, it’s hard to concentrate on studying. And yet if you’re in school, you have to do at least a little studying in order to progress from year to year. The key to effective studying isn’t cramming or studying longer, but studying smarter. You can begin studying smarter with these ten proven and effective study habits.

1. How you approach studying matters

Too many people look at studying as a necessary task, not an enjoyment or opportunity to learn. That’s fine, but researchers have found that how you approach something matters almost as much as what you do. Being in the right mindset is important in order to study smarter.
Sometimes you can’t “force” yourself to be in the right mindset, and it is during such times you should simply avoid studying. If you’re distracted by a relationship issue, an upcoming game, or finishing an important project, then studying is just going to be an exercise in frustration. Come back to it when you’re not focused (or obsessed!) by something else going on in your life.
Way to help improve your study mindset:
  • Aim to think positively when you study, and remind yourself of your skills and abilities.
  • Avoid catastrophic thinking. Instead of thinking, “I’m a mess, I’ll never have enough time to study for this exam,” look at it like, “I may be a little late to study as much as I’d like, but since I’m doing it now, I’ll get most of it done.”
  • Avoid absolute thinking. Instead of thinking “I always mess things up,” the more objective view is, “I didn’t do so well that time, what can I do to improve?”
  • Avoid comparing yourself with others, because you usually just end up feeling bad about yourself.
2. Where you study is important

A lot of people make the mistake of studying in a place that really isn’t conducive to concentrating. A place with a lot of distractions makes for a poor study area. If you try and study in your dorm room, for instance, you may find the computer, TV, or a roommate more interesting than the reading material you’re trying to digest.
The library, a nook in a student lounge or study hall, or a quiet coffee house are good places to check out. Make sure to choose the quiet areas in these places, not the loud, central gathering areas. Investigate multiple places on-campus and off-campus, don’t just pick the first one your find as “good enough” for your needs and habits. Finding an ideal study place is important, because it’s one you can reliably count on for the next few years.

1. Do the things you did the first year you were dating
 
As the months and years roll on, we tend to slink into our proverbial sweatpants and get lazy in our relationship. We lose our patience, gentleness, thoughtfulness, understanding and the general effort we once made toward our mate. Think back to the first year of your relationship and write down all the things you used to do for your partner. Now start doing them again.

2. Ask for what you want
 
Over time, we assume that our partner knows us so well that we don’t need to ask for what we want. What happens when we make this assumption? Expectations are set and just as quickly, they get deflated. Those unmet expectations can leave us questioning the viability of our partnership and connection. Keep in mind that “asking for what you want” extends to everything from emotional to sexual wants.

3. Become an expert on your partner
 
Think about who your mate really is and what excites him or her (both physically and emotionally). We can become consumed by what WE THINK he/she wants, as opposed to tuning in to what truly resonates with the other person. Remember that if it’s important to your partner, it doesn’t have to make sense to you. You just have to do it.

4. Don't ask "how was your day" 
 
At the end of a long day, we tend to mentally check out of our lives and consequently, our relationship. We rely on the standard question, “How was your day?” Generally, that boring question will yield a boring answer such as, “Fine, how was yours?” This does nothing to improve your connection and instead, can actually damage it because you're losing the opportunity to regularly connect in a small way.
Instead, try asking things like, “What made you smile today?” or “What was the most challenging part of your day?” You’ll be amazed at the answers you’ll get, with the added benefit of gaining greater insight into your significant other.

5. Create a weekly ritual to check in with one another
 
It can be short or long but it begins with asking each other what worked and didn’t work about the previous week and what can be done to improve things this coming week. Additionally, use this opportunity to get on the same page with your schedules, plan a date night and talk about what you would like to see happen in the coming days, weeks, and months in your relationship. Without an intentional appointment to do a temperature check, unmet needs and resentments can build.

6. Keep it sexy
 
What might change in your relationship if both you and your partner committed to increasing the behaviors you each find sexy and limiting those that aren’t? Think about this in the broadest form. “Sexy” can certainly refer to bedroom preferences, but it also represents what excites us about our mate in our day-to-day lives. Do you find it sexy if he/she helps with the housework? Do you find it "unsexy" when he/she uses the restroom with the door wide open? Talk about what it specifically means to "keep it sexy" in your relationship. Be amazed, be humored, be inspired.

7. Get creative about the time you spend together
 
Break out of the “dinner and a movie” routine and watch how a little novelty can truly rejuvenate your relationship. On a budget and can’t go big? Jump on the internet to look for “cheap date ideas” and be blown away at the plethora of options. Can’t afford a sitter? Try swapping babysitting time with friends that have kids. It’s free and they will likely be thrilled to take your kids because they will get to take advantage when they drop their kids at your place.

8. Get it on
 
Unless you have committed to an asexual partnership, sex, sexual contact and touching (kissing, holding hands, cuddling etc.) are vital components of a romantic relationship. The frequency is of course, up to you and it's imperative that you discuss your ideas about it in order to prevent resentment. Rare are the moments when both partners are “in the mood” at the exact same second, but that doesn’t mean that you have to decline their advances. Remind yourself that you will almost always “get there” after the first few minutes and that an intimate interaction of any kind builds connection and elevates your mood and health. Bear in mind that you are never required to say “yes.” If you truly don’t feel it, the best thing you can do is to postpone. Just make sure that you initiate or accept within a reasonable amount of time thereafter.

9. Take a (mental) vacation, everyday
 
Life and work distractions can become paramount in our minds and that leaves little time or energy for our partner. Practice the art of “Wearing the Relationship Hat.” This means that (barring any emergencies or deadlines), we are fully present when we're with our mate. We truly hear what they are saying (instead of pretending to listen), we leave our distractions behind and we don’t pick them up again until the sun comes up and we walk out the door.
Some tips to improve communication
Sadly, we aren’t born with the innate ability to effectively communicate but it doesn’t mean that we can’t learn. Use the following techniques to better navigate and limit the tension in your relationship:

10. Take "fight breaks" when you need them
 
Before you’ve hit the point of no return and as you see the stress beginning to escalate, one or both of you can call a break so that cooler heads can prevail. The crux of this tool lies in the fact that you must pick a specific time to revisit the conversation (I.e. 10 minutes from now, 2:00pm on Tuesday etc.) so that closure can be achieved.

11. Dig deep to unearth your true feelings
 
In most disagreements, we communicate from the “Top Layer,” which are the obvious emotions such as anger, annoyance and the like. Leading from this place can create confusion, defensiveness and ultimately distract from the real issue. Start communicating from the “Bottom Layer” (i.e. What feelings are really driving your reactions such as disappointment, rejection, loneliness, disrespect etc.).
This type of expression creates an instant sense of empathy because it requires honesty and vulnerability to share from this space. Tension will dissipate and from here, solutions can spring. Just be sure to use kind, non-reactive phrasing when expressing these bottom layer feelings, such as “I felt hurt by…” as a replacement for “You’re such a jerk” etc.

12. Seek to understand ... not agree
 
Easy in concept, difficult in application. Conversations quickly turn to arguments when we're invested in hearing our partner admit that we were right or when we are intent on changing his/her opinion. Choose to approach a conversation as an opportunity to understand your significant other’s perspective as opposed to waiting for them to concede. From this perspective, we have an interesting dialogue and prevent a blow out or lingering frustration.

13. Make your apology count
 
It’s well understood that apologizing is a good thing but it only makes a real impact when you mean it. Saying things like “I’m sorry you feel that way” or “I’m sorry you see it that way” are a waste of time and breath. Even if you don’t agree that your action was wrong, you will never successfully argue a feeling.
Accept that your mate feels hurt and from this place, a real apology can have a significant impact. When you love your partner and hurt them (intentionally or not) you can always legitimately apologize for the pain you caused regardless of your perspective on what you did or didn’t do.

10 Tips to get success in business

As someone who has been called a serial entrepreneur, I've had more than my fair share of experience starting new enterprises, turning around underperforming enterprises or re-vamping operations.
During that time, I've learned a thing or two about some critical factors you absolutely need to know before you jump into the proverbial entrepreneurial waters.
In the majority of cases, start-up success or failure is all about knowing the both the how and the why of taking action, and always being clear about which steps to take next.

To help this process, here are 10 essential things you need to know about running a successful business. Use it as a checklist to make sure your thinking and your business plan are on the right track, or if you need to get more information, strategic education or clarity for yourself on your overall vision, your market, or your product or service.
  1. Offer what people want to buy, not just what you want to sell. Too often, people jump into a business built around a product or service they think will be successful, rather than one that is already proven to have a market.

    What do I mean?

    Instead of creating and selling a new sports shoe with the latest trendy design and materials, you'd be much better off from a business perspective to focus on shoe category generally (a proven category because which people buy shoes every day) and then focus more specifically on the niche of high performance sports shoes, (which you may even sell in a section of a shoe retail outlet). Better to have a small slice of a large category than a large slice of no market at all.
     
  2. Get cash flowing ASAP. Cash flow is the lifeblood of business, and is absolutely essential to feed bottom-line profits. So you need to find ways to jump start cash flow immediately.

    How do you do that? In a professional services business, you can ask for deposits on work up-front, with balances due on delivery.

    You can do the same in retail, especially on high-ticket or specialty item and position it as an added value and a way to insure delivery by a specific date.

    You can also add value to generic items by creating private labels, and develop continuity programs where customers pay an up-front monthly fee to insure delivery or availability of items they will buy on a repeat basis. Of course, the key is to make sure there is little or no gap between when you pay for labor, stock inventory and when you actually get paid. Ideally, you'll find ways to get money up front, and your cash gap will never be an issue.
  3. Always find new ways to keep costs low. All the cash flow in the world is worthless if it's not positive cash flow, which means you have to bring in more cash than you pay out.

    To do this, you need to keep your costs and expenses low. We've touched on this before, especially in terms of outfitting a startup. The main idea is to never pay retail , and look for used or gently used items to furnish your office or your retail space.

    Paying vendors up front also gives you leverage for negotiating better prices. Especially in this economic environment, where credit is at a premium, vendors are more willing than ever to find creative ways to finance transactions, and that is a trend will likely continue over time.

    So do some extra work and research now to discover how owners and vendors are finding ways to work out deals, and you just may hit on whole new ways of doing business.
     
  4. When planning, always overestimate expenses and underestimate revenues. I was trained as an accountant, so the numbers side of business is part of my entrepreneurial DNA, and was also a big part of my early business education.

    That said, I've never seen a startup business where expenses were at least 30 percent more than initially planned or anticipated, and revenues are at least that much less.

    Being conservative in your numbers doesn't mean you are willing to accept those numbers, it just means you are arming yourself with information you can work with and work over. It means you can gauge the kinds of efforts and activities you will need to put into sales and marketing.
     
  5. Focus on sales and marketing manically. In business, nothing happens until a sale is made. From the jump, you'll need to find a good way to get leads, convert leads into sales, and make sure you keep getting repeat sales from your customers.

    The way to do this is to find or create a marketing and sales funnel system that you can work, test, measure; one that anyone in your company can utilize.

    Too many entrepreneurs focus on getting their brand right before they start to generate leads. That is exactly the wrong way to go about business. Leads are always more important than your brand, so don't waste money getting your brand right at the expense of spending that same money to buy new customers.

    Soon, you'll discover you can build your brand from the ground up, versus spending years and hundred of thousands of dollars building it from the top down. Don't presume you'll even survive that long, because without leads, you won't!
     
  6. Find ways to exponentially increase profits. In business, there are five drivers that impact profits. If you can master them while keeping your costs in check, you will run a successful business.

    It's as simple as getting more leads, converting more leads into customers, increasing the number of times those customers buy from you, increasing the average price point of your sales and increasing your profit margins.

    Do any one of those, while also keeping costs down, you will see more profits. Do all of them and you will see your business really take off.
     
  7. Test and measure everything. You can't change what you don't measure, and you can't tell if a program or strategy is working if you are not faithfully testing, measuring and tracking your results.

    Another way to look at this is to think in terms of doctors. Most like to get baseline stats of your heart rate, blood pressure and breathing before they delve into identifying symptoms or recommending corrective courses of action.

    The same is true in your business. Why keep literally throwing money away on an ad campaign that costs thousands of dollars but doesn't bring any people through the door?
     
  8. Accept that learning more equals earning more. If you've never run a million dollar business, you don't know how to start a business, simple as that.

    But you can learn to run one, even if it is your million dollar business you are building from the ground up.

    However, you need to accept right now that learning always comes before "earning" (except in the dictionary). You'll need to be committed to learning as much as you can about sales and marketing and operations if you want to have a truly success business.
